Job Description / Duties

Overview

Reporting to the Controller, the Real Estate Manager is responsible for managing and negotiating leases and lease renewals, and assisting in the development of new store expansion.

Responsibilities

· Reviewing and approving proposed lease agreements and rent schedules received from landlords within the context of the lease agreements for both the retail store brands and corporate facilities across the country.

· Working with our third party leasing representatives to co-ordinate the negotiations of new sites and existing store renewals.

· Tracking expiries and renewal option deadlines for existing stores and corporate offices and facilities:
o Liaising with internal stakeholders, including senior leadership
o Reviewing the retails store banners subsequent to gathering necessary information from various internal and external stakeholders (senior leadership, marketing, retail, finance and reviewing with third party leasing consultants)
o Drafting and sending required paperwork required to provide notice to exercise options)

· Preparing execution copies of agreements in addition to providing a summary of the details contained within the agreements to the signing authority.

· Maintain a database with respect to lease information for all stores and office facilities. Including all relevant dates, contact information, rent step ups etc.

· Work with landlords to address premises related issues for the retail stores and corporate office facilities nationally.

· Working closely with Store Planning Department:

o To ensure dates set out in agreements are met with respect to fixturing and commencement.
o The leasing of temporary kiosks for stores to use during store renovations.
o Ensuring required property and liability insurance is in place for new stores.
o Ensuring required documentation is gathered and that tenant improvement allowances are invoiced and subsequently collected from the Landlords.
o Troubleshooting the various challenges that arise within the shopping centres while new stores are built or existing stores are renovated.

· Reviewing annual additional rent reconciliations for all stores and corporate office facilities.

· Drafting, collecting, and filing annual premises review with respect to all retail stores across the country.

· Co-ordination or assisting in the co-ordinating of special corporate or business division projects (renovating or improving of new or existing office facilities)

· Building relationships on behalf of GLENTEL with external partners and stakeholders

· Scope of work may include International lease interests, as required

· Other duties as required

Qualifications / Required Skills

Qualifications

· Post-secondary education and 5- 7 in related job experience

· Understanding of real estate and retail

· Proficiency with Microsoft Office

· Candidates should have experience working in a fast paced environment

· Problem Solving and decision making skills with strong attention to detail

· Demonstrable organizing/planning ability

· Ability to be flexible
